The Quick Sale sub\u2011module allows you to process simple cash transactions outside of the full POS interface. It\u2019s ideal for over\u2011the\u2011counter sales when you know exactly which items the customer wants and need a fast way to record the sale without scanning items into a cart. Quick Sale transactions automatically create a paid invoice and update inventory just like POS sales, but the interface is streamlined for speed.<\/p>

Key features include:<\/p>

  • Product Variants and Bundles \u2013 Choose individual variants or entire bundles from your inventory. Bundles are collections of products that you configure under Products \u2192 Bundles.<\/p><\/li>

  • Search and Select \u2013 Search by variant name or SKU and select multiple items using checkboxes. A badge shows how many items are selected.<\/p><\/li>

  • Cash\u2011Only Checkout \u2013 Collect cash payments quickly. Quick Sale doesn\u2019t support card or mobile money (use POS for those).<\/p><\/li>

  • Instant Receipts \u2013 After payment, the system generates a receipt\/invoice with options to download or start a new sale.<\/p><\/li><\/ul>\t\t\t\t\t\t\t\t<\/div>\n\t\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t

    Accessing Quick Sale<\/h2>\t\t\t\t<\/div>\n\t\t\t\t
    \n\t\t\t\t\t\t\t\t\t

    • In the main navigation menu, click Sales and then Quick Sale. The Quick Sale page opens with two tabs: Product Variants and Product Bundles.<\/p><\/li>

    • By default the Product Variants tab is active. You\u2019ll see a table listing each variant along with its selling price, cost price, profit margin, barcode, stock and creation date.<\/p><\/li>

    • To view bundles instead, click the Product Bundles tab. If no bundles have been created, you\u2019ll see a \u201cNo bundles found\u201d message<\/p><\/li><\/ul>\t\t\t\t\t\t\t\t<\/div>\n\t\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t

      Selecting Items<\/h2>\t\t\t\t<\/div>\n\t\t\t\t
      \n\t\t\t\t\t\t\t\t\t

      1. Use the search bar above the table to quickly find a product by name or SKU.<\/p><\/li>

      2. Tick the checkbox next to each product variant you wish to sell. When you select at least one item, the blue Proceed to Payment (x item) button appears in the upper right of the table and a \u201cSelected: x items\u201d indicator updates.<\/p><\/li>

      3. You can select multiple variants at once; each selected variant will become a line item on the payment page. To deselect an item, uncheck its box.<\/p><\/li>

      4. When ready, click Proceed to Payment (x item) to open the cash payment page.<\/p><\/li><\/ol>

        Note: Only products with available stock can be sold. The stock column shows how many units are available. Variants with zero stock cannot be selected.<\/p><\/blockquote>\t\t\t\t\t\t\t\t<\/div>\n\t\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t

        Cash Payment Page<\/h2>\t\t\t\t<\/div>\n\t\t\t\t

        The Cash Payment page collects customer and payment details before finalising the sale.<\/p>

        Customer and Outlet<\/h3>

        • Customer (required) \u2013 Select an existing customer from the drop\u2011down. Quick Sale lists your saved customers (e.g., Jane Doe, John Doe) as well as the default Anonymous Customer for cash sales where customer details are not required. To create a new customer on the fly, click the + icon next to the field and complete the customer form (name, phone, email, address). The selected customer will be shown on the final receipt.<\/p><\/li>

        • Outlet (required) \u2013 Choose the outlet where the sale is taking place. The outlet ensures stock is deducted from the correct location. If you haven\u2019t created any outlets yet, go to Sales \u2192 Outlets to add at least one before using Quick Sale.<\/p><\/li><\/ul>\t\t\t\t\t\t\t\t<\/div>\n\t\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t

          Selected Items<\/h2>\t\t\t\t<\/div>\n\t\t\t\t

          Under Selected Items the page lists each product variant selected for this sale. For each item you can:<\/p>

          • Adjust Quantity \u2013 Use the \u2013 and + buttons to decrease or increase the quantity. The unit price and line total update automatically.<\/p><\/li>

          • Remove Item \u2013 Click the red Remove button to remove the item entirely from the sale.<\/p><\/li>

          • Add More Products \u2013 If you forgot an item, click Add More Products to return to the selection page. Your current selections will be preserved.<\/p><\/li><\/ul>

            The Total Due line shows the sum of all selected items<\/p>\t\t\t\t\t\t\t\t<\/div>\n\t\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t

            Cash Payment Section<\/h2>\t\t\t\t<\/div>\n\t\t\t\t

            The Cash Payment section handles the cash transaction:<\/p>

            • Cash Received \u2013 Enter the amount of cash given by the customer. Alternatively, click Exact to auto\u2011fill the exact amount due, or use the quick\u2011add buttons (+GH\u00a210, +GH\u00a220) to increment the tendered amount.<\/p><\/li>

            • Change Due \u2013 Once you enter the cash received, the system calculates any change due and displays it below the input field.<\/p><\/li>

            • Complete Payment \u2013 This button remains disabled until a customer, outlet and sufficient cash amount are provided. When active (blue), clicking Complete Payment finalises the sale.<\/p><\/li><\/ul>\t\t\t\t\t\t\t\t<\/div>\n\t\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t

              Completing the Payment<\/h2>\t\t\t\t<\/div>\n\t\t\t\t

              • After you\u2019ve selected a customer and outlet and entered the cash received, click Complete Payment. The system processes the payment and displays a success modal.<\/p><\/li>

              • The Payment Successful modal shows the amount paid in green and offers three options:<\/p>

                • Download Receipt \u2013 Downloads a PDF receipt\/invoice for the sale.<\/p><\/li>

                • Start New Sale \u2013 Returns to the Quick Sale selection page so you can begin another transaction.<\/p><\/li>

                • View Invoice Details \u2013 Opens the invoice detail page in a new tab where you can print or download the receipt.<\/p><\/li><\/ul><\/li>

                • A green toast notification (\u201cCash payment processed successfully!\u201d) also appears to confirm the sale<\/p><\/li><\/ul>\t\t\t\t\t\t\t\t<\/div>\n\t\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t

                  • Selecting View Invoice Details opens the invoice detail page. Quick Sale sales are recorded as paid invoices with a RECEIPT header and a green Paid badge. The page displays:<\/p>

                    • Business Information \u2013 Your company name and contact details.<\/p><\/li>

                    • Bill To \u2013 The customer selected (or Anonymous Customer if chosen).<\/p><\/li>

                    • Date Issued and Due Date \u2013 Issue date is today; the due date is typically 30 days later.<\/p><\/li>

                    • Item Description \u2013 Each product variant sold, quantity, unit price and total.<\/p><\/li>

                    • Summary \u2013 Subtotal, discount (if any), shipping, tax and total payable.<\/p><\/li>

                    • Remarks \u2013 Shows \u201cPayment successfully made.\u201d<\/p><\/li>

                    • Action Bar \u2013 Buttons to Create Another invoice, Refresh, Print, Download and a green Paid badge.<\/p><\/li><\/ul>

                      This invoice\/receipt also appears in the Sales \u2192 Invoices list for record\u2011keeping and can be reprinted or downloaded at any time.<\/p><\/li><\/ul>\t\t\t\t\t\t\t\t<\/div>\n\t\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t

                      Tips and Best Practices<\/h2>\t\t\t\t<\/div>\n\t\t\t\t

                      • Use Anonymous Customer for Walk\u2011In Sales \u2013 If the buyer doesn\u2019t provide contact details, select Anonymous Customer. Otherwise, choose an existing customer or add a new one to keep your CRM updated.<\/p><\/li>

                      • Check Stock Levels \u2013 Quick Sale cannot process items that are out of stock. Ensure stock is available or adjust quantities on the Selected Items list.<\/p><\/li>

                      • Create Outlets First \u2013 Quick Sale requires an outlet to determine where inventory is deducted. Set up your outlet(s) under Sales \u2192 Outlets before processing sales.<\/p><\/li>

                      • Cash\u2011Only Transactions \u2013 The current version of Quick Sale only supports cash payments. For other payment types (bank transfer, mobile money, card), use the POS or Invoice modules.<\/p><\/li>

                      • Automatic Invoices \u2013 Quick Sale automatically generates a paid invoice for each sale.
